Vacancy:  Front Office Executive

Job Summary:  Responsible for handling front office reception  and administrative duties, including greeting clients, answering phones,  handling company inquiries,  and sorting and  distributing mail.


Primary Responsibilities:

  • Answer phones and operate a switch board
  • Route calls to specific people
  • Answer inquiries about the company
  • Greet visitors warmly and make sure they are comfortable
  • Call persons waiting for visitor sand book them a room to meet in
  • Ensure reception area is tidy
  • Coordinate mail flow in and out of office
  • Coordinate office activities
  • Arrange appointments
  • Cash out people when necessary
  • Give people badges and direct them to where  they can sign in
  • Issue parking passes
  • Send email and faxes
  • Collect and distribute parcels and other mails
  • Perform basic bookkeeping, filling and clerical duties.
  • Prepare travel vouchers
  • Take and relay messages
  • Update appointment calendars
  • Schedule follow up appointments

Skills and Qualifications

  • Must hold a diploma in office administration, secretarial or related.
  • Must have impeccable communication skills
  • Must be thorough in report writing
  • Must have excellent phone etiquette
  • Must be computer literate and very conversant with basic office automation
  • Must be customer oriented and very professional
  • Should be resilient and handle pressure well
