Executive
Job Summary:
Responsible for handling front office reception and administrative duties, including greeting
clients, answering phones, handling
company inquiries, and sorting and distributing mail.
Primary Responsibilities:
- Answer phones and operate a switch board
- Route calls to specific people
- Answer inquiries about the company
- Greet visitors warmly and make sure they are comfortable
- Call persons waiting for visitor sand book them a room to meet in
- Ensure reception area is tidy
- Coordinate mail flow in and out of office
- Coordinate office activities
- Arrange appointments
- Cash out people when necessary
- Give people badges and direct them to where they can sign in
- Issue parking passes
- Send email and faxes
- Collect and distribute parcels and other mails
- Perform basic bookkeeping, filling and clerical duties.
- Prepare travel vouchers
- Take and relay messages
- Update appointment calendars
- Schedule follow up appointments
Skills and Qualifications
- Must hold a diploma in office administration, secretarial or related.
- Must have impeccable communication skills
- Must be thorough in report writing
- Must have excellent phone etiquette
- Must be computer literate and very conversant with basic office automation
- Must be customer oriented and very professional
- Should be resilient and handle pressure well
